Study Guide

There are many ways that you might choose to make your way through the unit. The diagram and suggested sessions (below) will help to plan your learning through the Prepare Quotations unit. The sessions outlined below are a suggestion only - you may have another way that you prefer to study.

Session 1 – Sources and types of Information: Pink Tiles
This topic looks at where to source information to prepare quotations and the type of information that you will need to prepare the quote. You may like to think about the following:
1) A client has sent you the following details regarding their proposed Honeymoon later in the year.
Mr & Mrs Smith travelling from Adelaide to a Queensland Island in October for 7 days. They want everything included and don’t want to be putting their hands in the pocket to pay for anything whilst they are away.
a)      Identify the products and services that you will be required to provide a quotation on.
b)      Identify the sources which you would access to complete the quotation for them.
2) Discuss quotation systems currently used by the tourism industry to prepare quotes.
      3)  Recall the procedure you would undertake when preparing a quote for a client.

Session 2 – Legislation: Aqua Tiles
Legislation is important when preparing quotations and in this topic you will learn about the consumer laws that impact sellers of products and services. You may like to think about the following:
1) Identify the laws that protect consumers when purchasing goods and services.
      2) The consumer protection law is important to organisations in the tourism industry.
a)      Identify the key components of this law and how it relates to providing quotations to consumers.
b)      Identify actions that you would need to adhere to in relation to the law when providing quotes.

Session 2 – Interpreting documentation: Yellow Tiles
In this topic you will learn how to read quotations and the important aspects that must be included on any quotation. You may like to think about the following:
1) A new staff member has joined the team and has asked you to explain what 'validity' means.
      2) Using the quote provided, identify the following:
a)      Date the quotation was prepared?
b)      How many people are travelling?
c)      What is the cost of the airfare including taxes per person
d)      How many nights are they staying in their accommodation?
e)      What is the total cost of the holiday?
f)       How much deposit would they need to pay to make the booking?
g)      When does the quote expire?
h)      Who prepared the quotation?

Session 3 – Calculating costs: Red Tiles
Grab your calculator as this topic is all about numbers and calculating costs of quotations to clients. You may like to think about the following:
1) Negotiation occurs between suppliers sometimes leading to contractual arrangements and preferred product arrangements. Explain why this occurs.
2) You completed the following quotation late last night and before giving to the client coming in soon you need to check over for accuracy. You will need to identify any calculation errors and then resolve the issues (if any) by re-writing the quote.
3) Your colleague has had to leave early and has asked you to finish calculating the following quotation for them.
4) Explain the principles of currency conversion using examples.

Session 4 – Preparing Quotations: Blue Tiles
In this topic you will prepare quotations for different customer types. You may like to think about the following:
1) Locate a completed quotation (and attach) and describe what makes the quote a good or bad quotation based on the knowledge you now have.
2) Explain what it means to prepare quotations in correct customer file sequence according to the earliest service dates for customers.
